Data Entry Instructions

School data will be kept strictly anonymous and protected within our secure online system.

There are instructions for entering weekly absence data and for your School Profile.

How to enter your weekly absence data

For each week, you’ll need to enter the number of half day registration periods students missed due to illness in each year group and the total number of half day registration periods in that week. There are normally two registration periods per day (am and pm) and so there will be ten per week. However occasionally this may change, for instance if there is an inset day that week. When it comes to entering data for the holiday weeks please select “Holiday” for the number of half days.

In the Flu study, we are only interested in absences due to illness, not unauthorised or medical absences,  as described here.

Instructions for data entry:

  1. Select the week
  2. Select the number of half day registration periods for that week – use holiday for weeks when the school is off all week – this will prevent the system from giving you zero illness absences for that week which would incorrectly affect the averages for all schools.
  3. Enter the total number of half days that students missed due to illness for each year group
  4. Click Submit
  5. Check and Confirm data

Trusted students

Students can upload illness absence data themselves. If you’d like to give some of your students this responsibility, please make your students are registered and then email us their usernames and we’ll upgrade them. Warning: If students are collating absence data, please ensure student names are not visible in order to protect their anonymity.

How to enter your school’s profile information

We recognise  that some information can be difficult to get hold of. In the meantime you can submit a partial profile and submit the missing information later on. However you will need the number of students on roll to start analysing. Entering the information on this page gives you lots of variables, which will make your data analysis much more interesting. If you notice an error on your school’s profile, please contact me (Katie) and I’ll amend it for you.

Instructions for entering your school’s profile information:

  1. Complete form
    1. The total number of pupils in each year group registered at the school at the beginning of the academic year. We will use this same figure throughout even if the NOR does change.
    2. The percentage of children in receipt of free school meals.
    3. The number of teachers and teacher assistants at the school at the beginning of the school year.
    4. Average age of school buildings in years. Be sure to enter the average age of buildings not the year built. An approximate figure will suffice for older and more complex schools.
    5. Percentage of children in broad ethnic groups. this data will be used to help describe populations rather than comparative analysis by schools.
